Importing coffee from Vietnam involves a specific set of documents. Customs authorities in every destination country will require these before releasing your shipment. Understanding what each document is and who provides it will save you delays and demurrage charges.
1. Commercial Invoice
Provided by the supplier. Shows the buyer, seller, product description, quantity, unit price and total value. Required for customs valuation in your country.
2. Packing List
Provided by the supplier. Itemises the number of bags, weight per bag, total gross and net weight, and container seal number.
3. Bill of Lading
Issued by the shipping line. This is your proof of shipment and ownership document. You need the original Bill of Lading to collect your container at destination port.
4. Certificate of Origin
Issued by the Vietnam Chamber of Commerce (VCCI). Proves the coffee originates from Vietnam. Required for customs and may qualify your shipment for preferential tariff rates under trade agreements.
5. Phytosanitary Certificate
Issued by Vietnam's Ministry of Agriculture (MARD). Certifies the coffee is free of pests, diseases and prohibited substances. Required by every importing country.
6. Quality Certificate (SGS or Intertek)
Third-party inspection report confirming moisture content, defect count, screen size and weight. Many buyers require this before releasing payment.
